1. POSITION VACANT: Assistant Manager - Budgets & Grant, Leading INGO, New Delhi
2. ORGANIZATIONAL BACKGROUND:
Our client is a leading international not-for-profit, respected for its impactful and high-quality programming for the provision of healthcare support to the rural heartlands and underserved populations of India, with emphasis on people with disabilities.
3. JOB DESCRIPTION/ RESPONSIBILITIES:
Reporting to the Head of Finance, the Assistant Manager- Budget & Grants (AM-BG) shall be responsible for leading, creating and driving the organization’s grants management framework. S/he shall manage a robust system that delivers compliance requirements, grant financial reporting, and grant audit and monitoring processes, providing the organization reasonable assurance of compliance with donor requirements and applicable policies.
Key Job Responsibilities:
(A) Grant Management (80%)
(1) Participate in grant management capacity assessment before proposals or applications are submitted;
(2) Provide financial data to prospective donors as required by the fundraising team;
(3) Support and review all restricted grants proposal budgets for accuracy and alignment with narratives;
(4) Review grant and subgrant agreements, including financial budgets, matching, and reporting requirements;
(5) Coordinate for creating donor codes in the books of accounts;
(6) Conduct partner/ subgrantee due diligence, review, and selection;
(7) Perform periodic offsite/ on-site monitoring of grant implementation;
(8) Make sure all donor related compliances are met within applicable timelines;
(9) Work with Area Office Finance Managers and other Programme staff for collating monthly information on each grant, ensuring regular data entry of the same in the books of accounts as per donor budgets;
(10) Consolidate and prepare donor utilization certificates (UCs), ensuring reconciliation with books of accounts and passing of relevant entries, if needed;
(11) Analyse UCs for alignment with Memorandum of Understandings (MOUs) with donors and ensure necessary approvals are taken in case of variances;
(12) Raise fund requests for all grants;
(13) Lead the Grant Audit (for audit of UC’s) and support external audits. Also ensure compliance with recommendations;
(14) Prepare monthly grant schedule for submission to CEO with an action plan for the utilization of the balance against each grant.
(B) Partner Assessment (10%)
(1) Undertake pre-award assessments, for verifying statutory documents and conducting full due diligence of prospective partners;
(2) Conduct post-award assessment, for carrying out financial reviews of partners, as assigned by the Head of Finance;
(3) Ensure compliance with agreed action plans.
(C) Grant Accounting (10%)
(1) Prepare income entries for grants received;
(2) Verify invoices for equipment and spectacles and ensure their correct booking to concerned donors, as per budgets;
(3) Ensure year-end entries of grant schedules for accrual of income.
Any other work delegated by the line manager.
4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:
Qualification:
Applicants must be postgraduates in a relevant field (viz. Accounting, Commerce, Finance, etc.)
Experience:
Applicants should have a minimum of five years of experience of working with not-for-profit organizations, of which two years must be in Budgets and Grants management.
Skills and Competencies:
(1) High degree of integrity;
(2) Planning and organizing;
(3) Analytical skills;
(4) Good communication skills. both oral and written;
(5) Ability to work with minimum supervision;
(6) Computer literate with excellent command over MS Excel. Should be adept at using various Accounting/ Budgeting software. Should have working knowledge of MS Word, MS Access; etc.;
(7) Ability to work under pressure;
(8) Should be a team player.
5. COMPENSATION OFFERED:
Gross compensation budgeted for the position ranges from INR 8-10 lacs per annum. Please note that the offer made to the selected candidate shall be commensurate with qualifications, experience, and salary history.
