1. POSITION VACANT(S): Executive Secretary (ES), Bharat Rural Livelihood Foundation (BRLF), New Delhi (One vacancy)

 

2. ORGANIZATION BACKGROUND:

 

Bharat Rural Livelihoods Foundation (BRLF) was setup by Ministry of Rural Development, Government of India (GOI) as an independent organization under the Societies Registration Act to facilitate civil society action in partnership with State and Central Government, for transforming livelihoods and lives of rural households, with an emphasis on women, particularly in the Central Indian Tribal Region.

 

BRLF is a unique and first-of-its-kind initiative, and the Foundation is constituted as a partnership between Government on the one hand and private sector philanthropies, public and private sector undertakings (under Corporate Social Responsibility) on the other. Major functions of BRLF is fostering strategic partnerships with state govt for improving programme outcomes, provide financial grants to Civil Society Organizations (CSOs) to meet their human resource and institutional costs for up-scaling of proven interventions, invest in institutional strengthening of smaller CSOs, capacity building of professional human resources working at the grassroots, and to create a knowledge Hub for the sector.

 

The General Body and Executive Committee of BRLF are constituted by eminent individuals as well as ex-officio representatives from private philanthropies, public and private sector organizations, financial institutions, State Governments and GOI.

3. JOB DESCRIPTION/ RESPONSIBILITIES:

 

The Executive Secretary (ES) shall be responsible for the following:

 

Key Roles and Responsibilities:

(1) Maintain XO's agenda and assist in planning appointments, board meetings, conferences etc;

(2) Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc;

(3) Maintain electronic and paper records ensuring information is organized and easily accessible;

(4) Write minutes of the Executive Committee, General Body, and other important meetings;

(5) Draft letters, notes for the record, minutes of meetings, contracts, circulars, write-up for an annual report or any other official document etc;

(6) Performing accurate research and analysis;

(7) Coordinating arrangements, meetings, and/or conferences as assigned;

(8) Compiling, proofreading, and revising drafts of documents and reports;

(9) Daily record keeping and filing of documents;

(10) Prepare reports, presentations, and correspondence accurately and swiftly;

(11) Create and organize information and generate reference tools for easy use;

(12) Answering and screening telephone calls, and responding to emails, messages, and other correspondence;

(13) Operating and maintaining office equipment;

(14) Manage a busy calendar, meeting coordination, and travel arrangements;

(15) Professionally greeting and receiving guests and clients;

(16) Ensure efficient and effective administrative information and assistance;

(17) Other administrative and documentation related work as assigned by supervisor.

 

4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:

 

Qualifications

(1) Applicants must have a bachelor’s degree in business administration or related field;

(2) Applicants must have a certificate in business administration or related;

 

Experience:

(1) Applicants must have minimum 5-7 years' experience in an executive support role;

(2) Prior experience of working in rural livelihoods domain shall be preferred.

 

Essential Skills and Competencies:

(1) Methodical thinker with detailed research proficiencies;

(2) Good understanding of clerical and secretarial principles;

(3) Strong knowledge of databases and tracking systems;

(4) Fantastic organizational skills and detail oriented;

(5) Ability to work under pressure and meet deadlines;

(6) Excellent written and verbal communication skills;

(7) Proficient in Microsoft Office, and business communication software;

(8) Ability to work in a multi-cultural/ multi-disciplinary team;

(9) Ability to multi-task with quick turnaround time;

(10) Ability to work closely with and participate actively and in a fully cooperative manner as a member of a broader team;

(11) Fluency in oral and written communication in English and Hindi.

 

5. COMPENSATION OFFERED:

 

Gross compensation budgeted for the position is attractive. The actual offer made to the selected candidate shall be commensurate with qualifications, experience, and salary history.

 

6. LOCATION: New Delhi

 

7. NUMBER OF VACANCIES: One

 

8. APPOINTMENT: This is a full-time position, and the initial contract will be offered for a period of three years.
