3. JOB DESCRIPTION/ RESPONSIBILITIES:
Reporting to the Country Director India (CDI), the Program and Admin Associate (PAA) shall be responsible for the effective and efficient functioning of the CDI’s Office, maintaining confidentiality on sensitive matters, ensuring compliance with prescribed procedures and protocols, managing information flows and following-up on deadlines and commitments made.
The PAA shall work in close collaboration with Senior Management, and the Program and Operations teams, and external stakeholders, to ensure the efficient flow of information, and appropriate action on instructions, and agendas.
Key Roles and Responsibilities:
A. Support Functioning of CDI’s Office
(1) Management of the CDI’s Office, ensuring an environment of professionalism and teamwork;
(2) Efficient and discreet management of the CDI’s schedules in Outlook;
(3) Coordination of regular and ad-hoc meetings; Preparation of minutes and summaries of actions to be taken; Tracking of progress on planned issues; Following-up with focal points;
(4) Screening of all incoming communications; Management and maintenance of outgoing/ ongoing communication.
B. Communications and Administrative Support
(1) Coordination of information flows in the office, including the dissemination of corporate and interoffice communication to staff as required;
(2) Facilitation of information sharing with the senior management, program and operations teams;
(3) Follow-up on deadlines, commitments made, and action taken; Coordination for the collection and submission of reports to CDI;
(4) Drafting of routine correspondence, interoffice circulars, general briefing notes, documents, reports, minutes of meetings, and translations when required;
(5) Scheduling and documentation of national level team meetings, especially SMT meetings;
(6) Support knowledge management activities, including the filing of reports etc.;
(7) Administration of travel, meetings, appointments, and briefings of CDI, including the drafting of background notes;
(8) Maintenance of the status reports of different teams, best practices, lessons learned, apart from publishing on intranet and the compilation of information for resource mobilization and communications;
(9) Support to the organization for advocacy events as and when required;
(10) Assistance with researching and tracking key developments in the public health development landscape;
(11) Managing the internal database for important relationships;
(12) Provision of support for preparing power points and document briefers;
(13) Provision of support in event planning.
4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:
Qualifications and Experience:
(1) Applicants must be graduates or post-graduates in any stream, with two to three years of experience in providing secretarial, administrative, or program administration support;
(2) Prior experience of providing support to a senior manager is essential;
(3) Experience of working with a development/ international organization is preferred;
(4) Experience in providing high level support for office administration and/or logistics, shall be an advantage.

(1) Demonstrated ability in communicating with different stakeholders and on various platforms;
(2) Result-oriented with ability to produce high quality deliverables, manage multiple concurrent tasks, and accomplish applicable timelines;
(3) Should be proficient in Outlook and schedule management;
(4) Competent in researching and analyzing information;
(5) Should be detail oriented;
(6) Competency in managing admin tasks;
(7) Ability to handle a variety of assignments under pressure of deadlines and flexibility;
(8) Demonstrated ability to exercise confidentiality and professionalism;
(9) Excellent time-management, problem-prevention, and problem-solving skills;
(10) Competent in Microsoft Office: Excel, MS Word, and PowerPoint;
(11) Excellent communication skills, both oral and written;
(12) Should be a team player;
(13) Demonstrated willingness to learn;
(14) Willing to travel intermittently.
5. COMPENSATION OFFERED:
Gross compensation budgeted for the position is attractive. Please note that the offer made to the selected candidate shall be commensurate with qualifications, experience, and salary history.
