Office Operations Coordinator

1. POSITION VACANT: Office Operations Coordinator, SightLife, New Delhi

2. ORGANIZATION BACKGROUND:

Headquartered at Seattle, WA-USA, SightLife is the only non-profit global health organization, focused solely on eliminating corneal blindness.

Working with surgeons in over 30 countries, SightLife and its Global Partners restore sight to more than 20 men, women, and children each day. This is accomplished through eye banks, which are centers for the recovery and distribution of eye tissue used in cornea transplants.

SightLife’s mission is to eliminate corneal blindness globally, through partnerships with eye banks in developing countries, where 90% of the world’s 10 million cornea blind people live.

Since 2010 SightLife has successfully implemented a comprehensive program to support the development of eye banks and corneal surgeons, across India. The current team includes people from IIMs, ISB, Cornell, Johns Hopkins and Duke University etc.

3. JOB DESCRIPTION/ RESPONSIBILITIES:

Reporting to the Manager Human Resources and Administration and Accounting Specialist, the Office Operations Coordinator shall be accountable for providing administrative and accounting support.
Key areas of accountability and responsibility along with expected time allocations are listed below under two segments: Administration and Accounts

(A) Administration (80%):
(1) Handle SightLife’s office administration work and ensure the smooth running of day to day office admin as well as operations work;
(2) Maintain office services, AMCs (annual maintenance contracts), proper record keeping, filing system and other day to day requirements as assigned;
(3) Manage Infrastructure, vendor, courier and office facilities.

Event and Logistics:
(1) Co-ordinate receptions, meetings, seminars and other events, as required and manage travel and stay arrangements at hotels;
(2) Manage travel logistics, organize visa process, book international and domestic flights, hotel accommodation and transfers for internal staff and guest.

Housekeeping:
(1) Manage office inventory by maintaining timely record of office supply requisitions and monitor usage.
(2) Review performance of housekeeping staff on timely basis.

HR:
(1) Maintain Leave Master;
(2) Liaison with outsourcing agency to provide attendance and incentive data for Eye Donation Counsellors (EDCs):
(i) Check and settle monthly invoicing for outsourcing agency;
(ii) Ensure receipt of compliance documents on time and record it into the system;
(iii) Keep counsellors’ records updated, at all times.

(3) Facilitate SightLife’s new joining process, by supporting the HR & Admin manager on the onboarding process; by maintaining new joining records and ensuring all tools and equipment are made available to the new hire on the joining day:
(i) Maintain and update HR records and notify SightLife’s US HQ.

(B) Accounts (20%):
(1) Verification and reimbursement of office expenses (Staff, Utilities and Vendor), payment of TDS, prepare vouchers and Challans, liaison with bank pickups and drop offs;
(2) Monthly Closing – liaison with accounting specialist, maintaining documentation support for local books of accounts, data upload for US records;
(3) Ensure effective handling of petty cash system, manage day-to-day office needs (Payments + records).

4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:

Qualification:
Applicants must possess MBA/ PGDMA or Masters in Human Resources or equivalent professional qualification from a reputed Institute or University.

Experience:
(1) Minimum five years’ experience in managing admin and office operations functions;
(2) Experience in providing administrative support, working knowledge on office systems and procedures as well as basic accounting knowledge.

Skills and Competencies:
(1) Good oral and written communication skills;
(2) Should be enthusiastic, self-driven and highly motivated;
(3) Knowledge of accounting and data management practices and procedures, is desirable;
(4) Computer skills and knowledge of MS office software packages, Internet Savvy, will be an advantage;
(5) Problem solving skills and positive attitude while managing any task;
(6) Self-disciplined and focused on deliverables.

5. Compensation Offered:

Gross compensation for the position is attractive. The offer made to the selected candidate shall be commensurate with qualifications, experience and salary history.
